Texas Cotton Growers Cooperative Association is an agricultural cooperative that focuses on the movement of materials from Central Texas cotton gins to textile mills around the world. With 3 locations serving 250+ grower-owners, we pride ourselves in providing exceptional service to our industry.
ABOUT THE ROLE:
We are seeking an individual to oversee the daily operations of the cooperative’s office.

DUTIES AND RESPONSIBILITIES:
Provides ongoing bookkeeping and administrative support to the office, driving organizational success through the management of daily operations and special projects.
Provides coordination of human resource paperwork for the organization including new employee office set-ups, background checks and on-boarding.
Supports company operations by maintaining office systems and supervising staff.
Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving office supply requisitions; assigning and monitoring clerical functions.
Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
Maintains office efficiency by planning and implementing office systems, layouts, and supplies or equipment procurement.
Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Maintains office staff by recruiting, selecting, orienting, and training direct employees.
Maintains office staff job results by coaching, counseling, and disciplining direct employees; planning, monitoring, and appraising job results.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Contributes to team effort by accomplishing related results as needed.

Direct: 1-2 Employees
Indirect: 6-10
JOB REQUIREMENTS:
Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
Experience with bookkeeping, receipt, invoicing and payment tracking
Ability to communicate orally with customers, vendors, management, and other co-workers
Knowledge of office administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google applications
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with scheduling tools
Excellent time management skills and ability to multi-task and prioritize work
Extreme attention to detail and excellent problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
EDUCATION OR EXPERIENCE:
High School degree; additional qualification as an Executive Assistant, Bookkeeper or Office Manager of 2-5 years. Willing to seek and attend additional continuing education, seminars, classes, or other job-related education requirements or opportunities.
PHYSICAL ENVIRONMENT:
The incumbents primary work setting will be in an office and may on occasion need to enter a warehouse environment for short periods
The incumbent may have prolonged periods sitting at a desk
The incumbent will use computers, telephone, and other office equipment in the course of the workday
The incumbent must be able to lift up to 20 pounds at times
