Texas Cotton Growers Cooperative Association is an agricultural cooperative that focuses on the movement of materials from Central Texas cotton gins to textile mills around the world. With 3 locations serving 250+ grower-owners, we pride ourselves in providing exceptional service to our industry.

ABOUT THE ROLE:

We are seeking an individual to oversee the daily operations of the cooperative’s office.

    DUTIES AND RESPONSIBILITIES:

  • Provides ongoing bookkeeping and administrative support to the office, driving organizational success through the management of daily operations and special projects.

  • Provides coordination of human resource paperwork for the organization including new employee office set-ups, background checks and on-boarding.

  • Supports company operations by maintaining office systems and supervising staff.

  • Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving office supply requisitions; assigning and monitoring clerical functions.

  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

  • Maintains office efficiency by planning and implementing office systems, layouts, and supplies or equipment procurement.

  • Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.

  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.

  • Maintains office staff by recruiting, selecting, orienting, and training direct employees.

  • Maintains office staff job results by coaching, counseling, and disciplining direct employees; planning, monitoring, and appraising job results.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

  • Contributes to team effort by accomplishing related results as needed.

    PERSONNEL RESPONSIBILITES:

  • Direct: 1-2 Employees

  • Indirect: 6-10

    JOB REQUIREMENTS:

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant

  • Experience with bookkeeping, receipt, invoicing and payment tracking

  • Ability to communicate orally with customers, vendors, management, and other co-workers

  • Knowledge of office administrator responsibilities, systems and procedures

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google applications

  • Hands on experience with office machines (e.g. fax machines and printers)

  • Familiarity with scheduling tools

  • Excellent time management skills and ability to multi-task and prioritize work

  • Extreme attention to detail and excellent problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills in a fast-paced environment

  • A creative mind with an ability to suggest improvements

    EDUCATION OR EXPERIENCE:

  • High School degree; additional qualification as an Executive Assistant, Bookkeeper or Office Manager of 2-5 years. Willing to seek and attend additional continuing education, seminars, classes, or other job-related education requirements or opportunities.

    PHYSICAL ENVIRONMENT:

  • The incumbents primary work setting will be in an office and may on occasion need to enter a warehouse environment for short periods

  • The incumbent may have prolonged periods sitting at a desk

  • The incumbent will use computers, telephone, and other office equipment in the course of the workday

  • The incumbent must be able to lift up to 20 pounds at times
